Community Music School is accepting resumes for:
Program Manager
The primary responsibility of this position is to supervise CMS music teachers and students
as the site manager at the location where private lessons are offered. CMS students, ages K-12,
receive affordable music lessons and other music program activities if they qualify for the
Federal Free or Reduced Lunch Program. The site management duties include tracking
student/teacher lesson schedules, attendance, lesson observations for student and teacher
evaluations and reports as requested by the Executive Director. Other duties include
participation with the CMS administrative team (Executive Director, Office Assistant, and
Program Committee) to assist with the hiring of teaching staff, maintaining a substitute
teacher roster, student registration, program design/scheduling including but not limited to
lessons, recitals, and public events that are all part CMS music education program. The
Program Manager reports to and works closely with the Executive Director and is assisted 4-6
hours per week by the Office Assistant. The Program Manager also works with the Program
Committee of the Board of Directors to assist in program planning. The current program
schedule includes Friday afternoons and early evenings, and Saturday mornings and early
afternoons from August through June with special hours to supervise a one-week plus
3-Saturdays summer program held in July. This is a year-round, part-time, hourly position
for an average of 12 hours per week including planning time and periods of administration
work to conduct regular teacher meetings and register and schedule students/teachers. The
position requires a BA Degree in Music Education and 3 years experience in teaching music
and arts program management or the equivalent, and computer skills using MS Office and MS
Access. The hiring rate is $14 per hour with no benefits.
Position Responsibility:
- Ensure that the mission of the school is achieved through programs and policies as
established by the Board & Executive Director.
- Manage the Program:
- Hire faculty and maintain a roster of faculty substitutes with the support of
Administrative staff.
- Assist with enrollment/scheduling of new and returning students. This includes the
initial contact with parent, updating the new student packet, and determining instrument
needs to request an instrument from the CMS Office.
- Maintain attendance/evaluation records and inform parents/guardians of any ongoing
concerns that may jeopardize a student continuing at CMS (includes disruptive behavior,
consistent tardiness/ absenteeism, and non-payment of tuition).
- Assist with communication between CMS Office and CMS families.
- Assist in planning/scheduling/supervising student juries and student recitals.
- Report, in summary, program activities to Executive Director on a monthly basis.
- Provide recital program information to Office Assistant for design and printing.
- Assist in planning of summer music lessons, recruiting faculty, and registering
children.
- Other responsibilities:
- Respond to cell phone calls and emails regarding teacher or student schedule
changes/absenteeism.
- Turn in Program Manager time sheets, bimonthly, and teacher time sheets, monthly,
to Office Assistant to meet payroll periods as outlined in procedures manual.
- Refer parents paying tuition, returning instruments, or needing supplies to the
Office Assistant.
- Compile program enrollment statistics, attendance and evaluation data, monthly, to
the Executive Director.
- Supervision:
- Evaluate faculty, annually.
- Plan and facilitate faculty meetings, weekly, to ensure quality program operations.
- The Program Manager, in collaboration with the Executive Director and Program Committee,
helps develop new programs and program initiatives as funding allows.
- Maintain working relationship with lessons site landlord and any other teaching venues’
staff.
- Maintain regular communications with the Executive Director, Office Assistant, faculty
and families.
- Maintain a positive and professional environment that encourages enthusiasm of students,
faculty and volunteers.
- Carry out the recommendations and directives of the Executive Director and Program
Committee.
Required Knowledge, Skills, and Abilities:
- Knowledge of the principles and practices of arts program management.
- Innovative, detail-oriented and self-motivated.
- Excellent organizational skills; able to process reports and meet deadlines.
- Knowledge of music education programs and teacher/student needs.
- Ability to supervise/manage teaching staff.
- Experience in various types of music and effective instructional methods.
- Ability to communicate professionally with a diverse constituency, and resolve/mediate
conflicts, as necessary.
- Limited knowledge of non-profit operations, and rules and regulations pertaining to budget
and personnel.
Minimum Training:
- Bachelors degree in music education, performance, arts management, or an equivalent
combination of training and experience
- Three years minimum experience in an arts program management or program coordination.
- Computer experience: PC, Microsoft Office, Access, and internet communications.
Preferred Training and Experience:
Combined teaching and arts program coordination/supervisory experience.

Office Assistant
The primary responsibility of this position is to support CMS office and music education
program operations including limited hours at the music lessons site. CMS students, ages K-12,
receive affordable music lessons and other music program activities if they qualify for the
Federal Free or Reduced Lunch Program. The office assistant duties include updating
student/teacher lesson schedules; attendance as provided by the Program Manager;
filing/tracking of reports as compiled by the Executive Director; and bookkeeping duties
related to tuition payments, donations, bill-paying, and payroll. Other duties include
participation with the CMS administrative team (Executive Director, Program Manager, and
Program Committee) to assist with teacher applications/interview scheduling; student
registration; maintaining a substitute teacher roster; recitals and public events promotions,
and other public relations, printing and mailings. The Office Assistant reports to and works
closely with the Executive Director, working 9-11 hours per week in the office, and 4-6 hours
per week to assist the Program Manager at the music lessons site, for a total of 15 hours
per week. The current schedule includes Friday afternoon and Saturday morning hours to assist
at the lessons site and office hours 3 days per week during the afternoons up to 6:00 PM.
This is year-round, part-time, hourly position of 15 hours per week. The position requires
at minimum a two-year business degree and 3 years experience in office operations using MS
Office, and bookkeeping using QuickBooks. The hiring rate is $10 per hour with no benefits.

by the Board & Executive Director. The Office Assistant will assist the Executive Director
and the Program Manager in:
- Enrolling new and returning students.
- Maintaining an inventory of instruments on loan and in storage.
- Facilitating communication between CMS office and CMS Program Manager, Teacher,
and Families.
- Reporting office activities to Executive Director as needed or on a monthly basis.
- General office responsibilities:
- Answer general information requests via email and telephone.
- Process payroll, bill payments, donations and other bookkeeping-related duties
as directed via QuickBooks.
- Process funds and receipts collected for tuition, for deposit, weekly.
- Maintain positive & professional relationships with program manager, vendors, teachers,
and families.
- Maintain regular communications with the Executive Director and Program Manager.
- Maintain a positive and professional office environment that facilitates quality
operations.
- Carry out Executive Directors’ recommendations and directives.
Required Knowledge, Skills, and Abilities:
- Knowledge of the principles and practices of office operations.
- Innovative, detail-oriented and self-motivated.
- Excellent organizational skills; able to process paper flow and meet deadlines.
- Extensive knowledge of office procedures.
- Ability to communicate professionally with a diverse constituency.

- High School or college graduate with some curriculum in business, or an equivalent
combination of training and experience.
- Three years minimum experience in an office setting.
- Computer experience: PC environment with Microsoft Office, QuickBooks, Access, internet
communications.

Adjudicators for student juries for each of the following: woodwinds,
